Who we are
SiteCash is a petty cash, voucher and Tally tool for construction companies, provided by [Legal name of the business], [Registered office address, City, State, PIN]. A builder company signs up and adds its own people (owners, accountants and site staff).
The company decides what is recorded in SiteCash. For those records the company is responsible for the personal data (the “Data Fiduciary” under the Digital Personal Data Protection Act, 2023), and we process it on the company’s behalf under our Data Processing Agreement. For SiteCash logins, billing and security records we are responsible directly.
What we collect
- Account details: your name, email address, company role and, if you add it, your mobile number. Your password is stored only as a secure hash.
- Company records you enter: sites, petty cash entries and vouchers, vendor and party names, vendor bills, cash requests, notes and approvals.
- Bill photos and PDFs you attach. The app uses the camera only when you tap “Take photo”, and the photo library only when you choose a picture.
- App and device information: the device name and type you log in from, and — if you allow notifications — a push notification token for that device.
- Security records: sign-in attempts (email and IP address) to stop password guessing, and a history of who changed what in your company’s records.
- Billing: plan, payment amounts and payment references. Card, UPI and bank details are handled by Razorpay and never reach SiteCash.
We do not collect your location, contacts or microphone, we show no advertising, and we do not sell or rent personal information.
Why we use it
To run the service for your company: sign you in, keep the cash book and vouchers, send the alerts you asked for (in the app, by email, WhatsApp or phone notification), export to Tally, take plan payments, keep the service secure and answer support requests.
Who can see it
- People in your company, according to their role and the sites they are given. Each company sees only its own data.
- Our staff, only to run the service, handle billing, fix problems and help when your company asks for support.
- Service providers that deliver parts of the service: hosting and file storage, email delivery, WhatsApp (Meta, only if your company turns it on), phone notifications (Expo, Google and Apple), and payments (Razorpay). They may use the data only to provide that service. The full list is in the Data Processing Agreement.
- Authorities, only when the law requires it.
Where it is stored and how it is protected
SiteCash’s servers and database are in the European Union, and some service providers work from other countries, as Indian law allows. Data travels over encrypted HTTPS connections and is encrypted at rest. Access is limited by role and site, and app logins end when you log out, change your password or are removed by your company. More on the Data security & integrity page.
How long we keep it
Records are kept while your company uses SiteCash, so the cash book stays complete for audits. If the company’s plan ends, its data is kept read-only for 90 days so it can be downloaded. When a company account is closed, its data is deleted within 30 days, and copies in backups are overwritten within a further 30 days. Payment and invoice records are kept as long as Indian tax law requires.
Your choices and rights
- See and correct your records in SiteCash, and download them to Excel.
- Turn email and WhatsApp alerts on or off in My Account, and phone notifications in your phone’s settings.
- Delete your account or your company’s data: see Delete your account.
- For records your company keeps about you, you can also ask your company; we help it answer.
Children
SiteCash is a business tool and is not meant for children under 18.
